Additional Download Information

Slow Download Time and Errors:

If you receive an incomplete download or an error message, it may be that the download took too long. Due to high activity and some resource issues, the downloads have been much slower in the early afternoon than in the morning or evening. You may wish to try your download during non-peak times.

Additional Disaggregations, Indicator Available on Downloads:

Due to space constraints and other issues, some items are not shown on the AEIS reports. However, they are available in the downloads:

  • Disaggregation by Male and Female: This disaggregation is available for the performance indicators, for campus, district, region, and state downloads. The data element includes an "M" or "F" in the second position in the name.
  • Disaggregation by At-Risk (at the campus level): New for 2011-12, this disaggregation is available for all performance indicators on the campus downloads. The data element includes an "R" in the second position in the name.
  • District Mobility: This item is calculated at the campus level, with the average of all campuses shown as the district mobility. In the past, a district value has been shown on the published campus reports but not on the district reports. It was also not available in any download. Now, new for 2011-12, it is available on the district download. DPEMALLC is the Mobility Numerator and DPEMALLP is the Mobility Percent. Mobility is also shown in the state level download—an average of all campuses in the state.

Three Download Formats:

  • Excel (.xls) - The download file will open automatically in Excel, both in older versions as well as in the latest. Note that in Excel 2007 a warning message may appear. Simply click "yes" to open file. Downloading the district and campus aggregates for the whole state using the Excel format will take extra time due to the large file size.
  • Comma Delimited (.dat)
  • Tab Delimited (.dat)

Data Elements:

Most data elements are grouped logically. For example, when selecting "4-Yr Graduation Rate, 2011" a group of 14 variables will be included in the downloaded data. The data element or variable name is on the first row of the downloaded file.

ID number for District or Campus:

All district and campus downloads have as the first column the ID number. This number must be treated as text because some applications will delete leading zeroes. For this reason, the Excel download (.xls) includes a single quote: ' in front of the ID number. This informs the application that the number should be treated as text. Note that if the ' is deleted, Excel will not show the leading zeroes.

The comma-delimited and tab-delimited (.dat) downloads do not include the single quote in front of the ID number.

Go to the Master Reference for Data Elements Used in AEIS for a detailed description of the downloaded elements. The AEIS Data Dictionary provides a mock up of the report with each cell labeled according to the download.
