AYP Help Page

When Selecting Data Elements:

Most data elements are grouped logically. For example, when selecting "Graduation or Attendance" then "Attendance," a group of 35 fields will be included in the downloaded data. Accessing the Master Reference for Data Elements Used in AYP (upper right corner of the Download html page) will provide a more detailed description of the downloaded elements.

When Selecting File Format:

When using comma delimited, tab delimited, or fixed format, the data element or variable name will be on the first row of the downloaded file. Refer to the Master Reference for Data Elements Used in AYP link in the first paragraph for a more detailed description of the downloaded elements.

Note that these files exceed 64K, and should therefore be viewed using software such as Wordpad or database software. Versions of Microsoft Office software prior to Microsoft Office 2007, such as Access 2003 (maximum 255 fields) or Excel 2003 (maximum 256 fields) are limited in the number of fields processed. Microsoft Office 2007 software, including Access 2007 and Excel 2007, will import and load all fields and do not have field size restrictions. If these software applications are unable to accommodate the download request, analysts or programmers may need to write their own data extraction programs in order to analyze these data. Note that the maximum number of fields used in a single file is over 400 fields for the "All Information" file.
